Documents, spreadsheets and presentations

When your teacher says "hand in your project", there is always a choice behind it: do I write it, calculate it or present it? Each task calls for its own tool, and using it well is the difference between a document that takes half an hour and one that takes three.

Three tools, three different tasks

Three office tools: a page of text with a heading and paragraphs (word processor), a spreadsheet with cells, a formula and a chart (spreadsheet), and a person pointing at a chart on a projected slide (presentations). =SUMA(B1:B3) B A C 1 2 3 4 12 7 9 28 8 15 4 Word processor Spreadsheet Presentations write calculate present

State which calculation needs to be performed to obtain the missing total and calculate its value. Also calculate the total cost of the party by adding the totals of all three rows.

Explain what this formula calculates, what happens to it if it is copied from cell D2 to cell D3, and what formula you would write to sum all the totals in column D.

Look at a spreadsheet with columns A (First Name), B (Last Name), C (Group), and D (Final Grade). To sort the class from highest to lowest grade, someone selected only column D and clicked "Sort Z to A", ignoring the program's warning to "expand the selection". Interpret what happened to the data integrity and what consequences this has for the students' grades. Then, design the correct procedure to isolate and view exclusively the students in "2nd B" sorted alphabetically by their last names without disconnecting any data.

A classmate's presentation has slides with whole paragraphs copied from the written report, and he reads them out loud during the presentation. Explain the problem with this way of presenting and rewrite the content of this slide applying the rules of a good presentation: "Photosynthesis is the process by which plants, algae, and some bacteria convert solar light energy into chemical energy, absorbing carbon dioxide from the air and water from the soil to produce their own food and releasing oxygen as a waste product, a process essential for life on Earth."

For a Technology project, your team needs to write a report sharing files across computers with different programs and operating systems (some use LibreOffice, others Microsoft Office, and others cloud-based applications). When exchanging files in .docx and .odt formats, tables get displaced, the font changes, and some formulas become unreadable. Analyze the technical cause of this issue, distinguishing between proprietary formats and open standards. Then, design a saving and submission protocol for the group, justifying which format you should use during collaborative editing and which one for the final non-editable submission to the teacher.

A budget you can check in a spreadsheet

Set up a table with A: material, B: quantity, C: unit price and D: amount. Type quantities and prices as numbers, with the currency applied as a format.

Budget spreadsheet: each amount is quantity times price with a formula and the total adds up column D; if you change a quantity, everything is recalculated. ABCD1MaterialQuantityPriceAmount2Board42.50=B2*C2 → 103Screw100.20=B3*C3 → 24Total=SUM(D2:D3) → 12 in blue, the formula you type and the result it shows

Represent the amounts for each material in a column chart with a title and the monetary unit; it should update when you change a quantity. Keep the editable file with the formulas and export a PDF copy to communicate the budget. Function names depend on the language of the program: SUMA may appear as SUM.

Back to the beginning: If the work involves writing long explanations, choose a word processor; if it includes calculations and cost tables that may change, use a spreadsheet; and if you have to defend it orally in front of the class, prepare a visual presentation to support you.
